The commercial problem

A sent quote still needs an unambiguous customer decision.

Email threads, verbal approvals, and detached documents make it harder to keep the commercial record clear. CostForge connects the client-facing quote with an online response flow, while keeping internal costing and margin detail out of the public quote view.

01

One response link

Send the client a unique public quote URL created for that quote response instead of asking them to log in to the staff application.

02

Signed response

The client reviews the quote, enters their name, provides a signature, and chooses whether to accept or decline.

03

Internal detail stays internal

The public quote flow is designed to keep internal costing and margin information out of the client response page.

04

Keep the outcome connected

CostForge stores the response and updates the quote status so the team can see the commercial outcome against the original job and quote.

A repeatable workflow

From sent quote to recorded response without a separate customer account.

The acceptance flow is part of the existing quote record, giving the client a straightforward way to respond and the trade business a clearer record of what happened next.

01

Send the quote

Use Send to Client. CostForge creates a unique response token and public URL, then sends the quote through the application's email delivery flow.

02

Client reviews and signs

The client opens the public quote, reviews the client-facing information, enters their name, provides a signature, and chooses Accept or Decline.

03

Record the decision

CostForge stores the response and timestamp and updates the quote status. Accepted work can then continue through the business's configured commercial workflow.

Built for real work

Useful wherever a trade quote needs a clear customer response.

Online acceptance is especially useful when the estimator, office team, and client need one shared outcome rather than approval being scattered across calls, messages, and attachments.

Questions trade teams ask

Use the answers below to compare a structured quoting workflow with spreadsheets and generic accounting tools.

Can customers accept a CostForge quote online?

Yes. A client can open the tokenised public quote link, review the quote, enter their name, provide a signature, and choose Accept or Decline.

Does the customer need a CostForge account?

No. The public quote response flow is designed for clients to respond without logging in to the staff application.

Does CostForge capture a signature?

Yes. The documented response flow captures the client's name and signature, and requires a signature before the final accept or decline response is confirmed.

Can the client see internal costing or margin?

The public quote endpoint is designed to sanitise client-facing information so internal costing and margin details are not exposed. Quote-item visibility controls can also determine which pricing detail appears to the client.

What happens after a quote is accepted?

CostForge records the response and updates the quote status. If the live Xero integration is connected and automatic invoicing is enabled, accepted quotes can also trigger the configured Xero invoice workflow.

Build a calmer commercial process

Make the client decision part of the quote record.

Build the quote, send a secure client link, capture the signed response, and keep the outcome connected to the job instead of another disconnected inbox thread.
